Challenges
In the initial phase, we analyzed the client’s HR function to assess its current state. Our findings revealed an HR function limited to basic administrative tasks, with informal processes, a lack of structured policies, and no clear procedures, hindering efficiency and strategic alignment.
Solution
Vivendum Ratio Solutions delivered a two-phase HR transformation. In the first phase, we crafted a comprehensive set of HR policies and procedures and developed a communication plan for seamless change management.
We mapped and designed processes to elevate the HR function to an operational level. In the second phase, we collaborated with the client’s executive director to shape the strategic purpose of the HR function, aligning it with the company’s vision, mission, and strategic goals. We created an HR strategic plan, a vital recruitment strategy, a Balanced Scorecard performance management system, a competency framework, a key position and talent management system, a detailed training and development system, and an employee engagement survey.
Additionally, we developed technical specifications for an HR ERP system to automate all HR procedures, incorporating employee and manager portals to enhance communication and engagement. We partnered with a software provider to fully personalize and test the solution until it was live. We mentored and couched HR personnel into full implementation of the strategic model and continued the communication in to post project period as support and to ensure that the HR transformation is running as set in the strategic plan.
Results
Our transformation enabled the client’s HR function to operate efficiently and strategically, aligning with their business objectives. The new policies and processes streamlined personnel administration, significantly reducing inefficiencies. The HR ERP system automated key procedures, saving administrative time and improving communication through employee and manager portals.
The strategic HR plan and recruitment strategy strengthened talent acquisition and retention, while the Balanced Scorecard and competency framework enhanced performance management. Ongoing mentoring ensured HR personnel operated independently, sustaining the transformation.
