With our first clients, we collaborated on establishing the HR function, including the full implementation of documentation, processes, and systems for effective management of personnel administration and human resources within the companies.

Establishment and transformation of the HR function

To achieve transformation of the HR function, we conducted a revision of the organizational structure and systematization, implemented policies, processes, and documentation for efficient personnel administration, prepared a customized HR software specification tailored to our client’s needs, established core HR systems and programs, and provided mentorship and coaching to HR employees to enable them for independent managment of the function.

HR Audit

Through this external audit, a comprehensive analysis was conducted of the systems, procedures, policies, and documentation related to the operations of the Human Resources sector within the company, based on which appropriate recommendations and guidelines for improvement were prepared.

A personalized professional development program for 120 employees in managerial positions, divided into 4 modules, with 24 separate training sessions conducted.

From our client, who operates the largest retail and distribution network for products in its industry within the country, we were hired to:

  • Revise of the organizational structure and systematization, 
  • Conduct labor market research,
  • Revise of the compensation and bonus system, 
  • Transform the HR function through process redesign, and revision of policies, procedures, and documentation within the department

AUTOMOTIVE INDUSTRY / BANKING SERVICES
Professional Development Program

For a client from the automotive chemical industry, we were engaged to prepare and deliver a professional development program, consisting of 5 different modules, 12 training sessions, for over 20 employees from the logistics department.

Shortly after, we conducted a personalized training focused on developing sales skills for employees working in bank branches across the country.

NON-GOVERNMETAL ORGANIZATION (NGO)
Consulting services and establishment of the HR function

In collaboration with a non-governmental and non-profit, European-oriented organization, we established a fully functional Human Resources department through outsourcing services. This included the development of policies, procedures, processes, and complete documentation for efficient management of personnel administration.

Due to the numerous projects for personalized training and development programs, as well as the increased number of open seminars organized by our company, we decided to establish a Center of Excellence at VRS, whose purpose will be to transfer new knowledge, skills, and experiences to our participants.

With the establishment of the Center of Excellence, we organized the "Academy for the Development of Managerial and Leadership Skills," which, in addition to appropriate modules for learning these skills, included:

  • Process analysis related to the participants’ work,
  • Comprehensive evaluation of participants before the start of the program,
  • Continuous mentorship and coaching by the lecturer during all assigned tasks and projects,
  • Final evaluation of participants upon completion of the program,
  • Preparation of individual plans for further development.

PHARMACEUTICAL INDUSTRY - WHOLESALE DISTRIBUTOR
Revision of organizational structure, systematization, and salary system

In this project, we were hired to conduct an revision of the existing organizational structure and systematization, as well as an revision of the salary system. While carrying out this task, we performed an analysis and re-design of the main processes, developed a framework of required competencies, and worked with managers on developing their managerial and leadership skills. Additionally, during the project, mentorship and coaching activities took place to ensure future independent implementation of the introduced changes.

    Vivendum have helped us in establishing and implementing a complete transformation of the HR function, starting with a revision of the organizational structure and job systematization, which served as the foundation for the next steps.

    Following that, all processes and policies for effective personnel administration were established, including the full set of required documentation as well as the preparation of specifications for the development of HR software tailored to the needs of our processes.

    Once these foundations were in place, we collaborated on the implementation of the core HR systems as well as programs and mechanisms for raising awareness of organizational culture in light of the new changes within the company.

    I was assigned by the General Director to improve efficiency, reduce employee turnover, and enhance quality in a new department within the same company, where at that time efficiency was at 72%, employee turnover was above 6%, and there were 30–40 quality complaints on a weekly basis.

    Through the mentoring and coaching services provided by Natasha Aleksovska, which supported us in setting and monitoring targets, improving communication with employees, problem-solving, building trust, and—most importantly—developing collaboration with other departments, we managed to build a team that was later able to work independently.
